Guardians of the Pack

At Guardians of the Pack, each session is thoughtfully scheduled and dedicated to you and your canine. We understand that plans can change and ask that Guardians provide as much notice as possible when a scheduled session needs to be changed. This Scheduling & Cancellation Policy applies to Training, Play, Adventure, and other applicable services provided by Guardians of the Pack.
1. Scheduling Sessions
All sessions are scheduled in advance and are subject to availability. Package sessions may be pre-scheduled before the first session to help maintain consistency and reserve appropriate availability throughout the service period. Scheduling is completed directly with Guardians of the Pack. Submitting an inquiry through our website does not constitute or guarantee a booking. A session is considered scheduled once the date and time have been confirmed by Guardians of the Pack.
2. Guardian Availability
Guardians are responsible for ensuring that they and/or their canine are available at the agreed location and scheduled time, as required for the applicable service. Where a service requires the Guardian to be present for the session, pick-up, drop-off, access to the canine, or another part of the service, the Guardian is responsible for being available as agreed.
3. 24-Hour Cancellation & Rescheduling Notice
We understand that sometimes plans change. If you need to cancel or reschedule a session, Guardians of the Pack requires a minimum of 24 hours' notice before the scheduled start time. When at least 24 hours' notice is provided:

the session will not be forfeited;

no cancellation fee will be charged; and
-
the session may be rescheduled, subject to availability and the applicable package expiry period.
There is no requirement that a replacement session occur within 14 days. However, Guardians are responsible for ensuring that rescheduled sessions are completed within the applicable package period.
4. Late Cancellations
A cancellation or request to reschedule made less than 24 hours before the scheduled start time is considered a late cancellation.
The scheduled session will generally be considered used and deducted from the Guardian's package. The session will not ordinarily be eligible to be rescheduled, credited, or refunded. We understand that genuine emergencies and exceptional circumstances can occur. Guardians of the Pack may consider an exception on a case-by-case basis at its discretion.
5. No-Shows & 30-Minute Grace Period
Guardians of the Pack provides a 30-minute grace period from the scheduled start time for Guardians and/or their canine to be available for the scheduled service. If the Guardian or canine is not available at the agreed location within 30 minutes of the scheduled start time, and alternative arrangements have not been confirmed with Guardians of the Pack, the session may be considered a no-show. A no-show session will generally be considered used and deducted from the applicable package and will not ordinarily be eligible to be rescheduled, credited, or refunded. If the Guardian or canine becomes available within the 30-minute grace period, Guardians of the Pack may provide the service for the remaining scheduled time only. The original scheduled end time will continue to apply, and additional time is not guaranteed.
For example: If a session is scheduled from 10:00 a.m. to 11:00 a.m. and the Guardian or canine becomes available at 10:25 a.m., the session may proceed from approximately 10:25 a.m. to 11:00 a.m. The session will not automatically be extended until 11:25 a.m.
Guardians are encouraged to contact Guardians of the Pack as soon as possible if they expect to be late or unavailable at the scheduled start time. Exceptional circumstances may be considered on a case-by-case basis at the discretion of Guardians of the Pack.
6. Late Arrivals
Guardians are encouraged to be ready at the agreed location at the scheduled start time. If a Guardian arrives late or is not ready at the scheduled start time but is available within the 30-minute grace period, Guardians of the Pack may provide the session for the remaining scheduled time where reasonably possible. The session will generally end at its originally scheduled time so that subsequent appointments and commitments are not affected. A late arrival does not ordinarily entitle the Guardian to additional time, a credit, rescheduling, or a refund.
7. Cancellations or Rescheduling by Guardians of the Pack
On occasion, Guardians of the Pack may need to cancel or reschedule a session because of illness, emergency, weather, safety concerns, operational circumstances, or another unexpected event. If Guardians of the Pack cancels or reschedules a session, the session will not be forfeited or deducted from the Guardian's package. We will make reasonable efforts to arrange another mutually suitable date and time, subject to availability. If a cancellation or scheduling limitation caused by Guardians of the Pack materially affects the Guardian's ability to complete the package before its expiry date, an appropriate extension may be provided.
8. Weather & Environmental Conditions
Some Guardians of the Pack services take place outdoors. Weather and environmental conditions can change quickly, and the safety and well-being of our Pack Members, Guardians, staff, and the public will always be considered when determining whether a session can safely proceed. A session may be modified, shortened, relocated, rescheduled, or cancelled due to conditions including:

extreme heat or cold;

thunderstorms or lightning;
-
heavy rain, snow, or ice;
-
unsafe road or travel conditions;
-
poor air quality;
-
government weather warnings;
-
environmental hazards; or
-
any other condition that Guardians of the Pack reasonably determines may affect the safety or welfare of the canine, Guardian, staff, or public.
If Guardians of the Pack cancels a session because of weather, environmental conditions, or another safety concern, the session will not be forfeited or deducted from the Guardian's package. If Guardians of the Pack determines that a session can safely proceed and the Guardian chooses to cancel or reschedule, the standard 24-hour cancellation policy will generally apply.
Exceptional circumstances may be considered on a case-by-case basis.
9. Rescheduled Sessions
All rescheduled sessions are subject to availability. Guardians of the Pack cannot guarantee that a particular replacement date or time will be available. Guardians are encouraged to reschedule as soon as reasonably possible to help ensure that all package sessions can be completed before the applicable expiry date. Rescheduling a session does not automatically extend the package expiry period. Information concerning package expiry and extensions can be found in our Refund & Package Policy.
10. Repeated Cancellations or Rescheduling
We understand that occasional schedule changes are unavoidable. However, repeated cancellations, rescheduling, late cancellations, or no-shows may interfere with our ability to maintain consistent services and reserve appointment times for our Pack Members. Where a pattern of repeated scheduling disruptions occurs, Guardians of the Pack may discuss alternative scheduling arrangements with the Guardian or determine whether continuing the service is reasonably practical. Any decision to modify or discontinue services will be handled in accordance with the applicable Service Agreement, Refund & Package Policy, and applicable law.
11. How to Cancel or Reschedule
To cancel or request a change to a scheduled session, please contact Guardians of the Pack directly using an established communication method. Email: guardiansofthepack@outlook.com Where possible, Guardians are encouraged to provide notice as soon as they know that a scheduled session cannot be attended. The time the cancellation or rescheduling request is received by Guardians of the Pack will be used to determine whether the required 24-hour notice was provided.
12. Applicable Rights
Nothing in this Policy is intended to exclude, restrict, or waive any consumer right or remedy that cannot lawfully be excluded or waived under applicable Ontario or Canadian law. Where a mandatory requirement of applicable law conflicts with this Policy, the applicable legal requirement will govern.
